Fleet care is often managed by the invoice alone: "What does a wash cost?" That question falls short. The real costs sit in downtime, travel and loss of value – items that appear on no cleaning invoice.
The visible and the hidden costs
The invoice for cleaning or detailing is only the tip. On top of it come:
- Downtime and travel: when an employee drives to the car wash, they're absent from the business. At internal hourly rates, that time is often more expensive than the wash itself.
- Vehicle idle time: a vehicle waiting in a queue earns nothing.
- Loss of value through neglect: road salt, tree sap and insect residue that aren't removed attack paint and seals – the bill arrives later, at return or resale.
- Administrative effort: coordinating appointments, collecting receipts, assigning costs per vehicle.
Realistic intervals instead of gut feeling
Sensible care intervals depend on the usage profile and the season, not on a fixed calendar date. As a guide:
- Exterior cleaning: more often in winter (road salt) and for field-service vehicles with customer contact.
- Interior cleaning: by usage intensity – trade and van fleets differ from the field-service car.
- Detailing/polishing: at longer intervals, but deliberately before return, driver change or sale.
The principle: better regular and matched to usage than rare and then expensive to catch up on.
How to calculate the total cost
Instead of looking only at the price per wash, calculate the full cost per care event:
- External costs (cleaning, detailing, travel).
- Internal time (travel + waiting × internal hourly rate).
- Proportional value retention (avoided diminished value at return/sale).
