The problem

‘Complete’ is not evidence

A photo in a group chat, a receipt in the glove box and a detail someone remembers. Three months later, none of that is reliable evidence.

Photo without time or location

A photo alone does not show when it was taken or which vehicle it belongs to. It proves only that someone took a picture.

Evidence without a vehicle link

An invoice names a service, but rarely the vehicle registration it belongs to, and the accounting entry does not add that link.

Memory instead of a record

A recollection is not documentation. At return or inspection, only dated evidence counts.

The service, job and amount are assigned to a vehicle registration. Nothing is booked against the fleet as an unallocated total.

For lease return

The vehicle's condition is evidenced with a date

At lease return, the record shows what was done and when. Visible damage is recorded and marked.
