Driver assignment
No searching through calendars and inboxes. The exact time is enough.
What the module records.
It goes to the registered keeper. The fleet team must provide an evidence-based response, not a guess.
The authority writes to the company, not the driver. The deadline starts when the notice is served.
The notice gives the precise place and time. A weekly calendar does not answer that question.
Two weeks later, no one can reliably recall who used a pooled vehicle that morning.
Case
The registered keeper receives the hearing notice. Driver history provides the fleet team with a reviewable suggestion.
Illustrative image
Four steps, all recorded against the vehicle — not in a separate tool.
Record the authority, reference number and incident time against the vehicle, including the response deadline.
Driver history suggests an assignment for the relevant period.
The customer checks the suggestion against the record before sharing any details.
An unanswered case stays visible on the vehicle until a response is recorded.
A record based on a guess will not withstand scrutiny from an authority.
Vehicle usage history
Every driver change is timestamped. If no entry matches the period in question, the answer is ‘pooled vehicle, unknown’ — never a guess. Example from the demo fleet: VW Transporter panel van, registration M-DM 1002, vehicle number TR-1002.
Retention period
Driver assignments are deleted by default three years after the usage period ends, unless a traffic-fine case is still open. The retention period is configurable.
This is not legal advice. References to legislation and deadlines are for guidance; applicable law, the authority's notice and your operational practice remain decisive.
Driver identification is only as reliable as the records behind it.
Source
The driver assignment at the relevant time — or ‘pooled vehicle, unknown’ — is the basis for the assignment reviewed by the customer.
Beforehand
Driving licence checks under Section 21 StVG, with an inspection cycle and evidence for every pooled vehicle.
Overview
Roadworthiness checks under Section 29 StVZO, DGUV V70 inspections and the remaining operator duties in one place.
